​WE ARE LOOKING FOR A 'CERTIFICATION OFFICER'

Are you a Science, Technology, Engineering or Mathematics degree graduate, looking for an exciting job in a growing field? We are looking for a new Certification Officer to join our client's team in helping businesses to meet industry standards for food handling, manufacturing and becoming export ready. We are looking for the right person to upskill, meaning all training is provided, to get you ready and out into the field.

Our client works closely with exporters and relevant stakeholders to access new markets and maintain existing ones. It has a Quality Management System (QMS) in place to ensure consistent service delivery, with continual improvement as a key policy. You will need to learn the ropes quickly and get onboard to assist our exporters and manufacturers reach higher standards, with this full-time position.

Main responsibilities:
The Certification Officer is primarily in charge of conducting inspections and assessments, ensuring operations and procedures comply with certification guidelines and requirements. Although their responsibilities may vary upon their industry or organization of employment, it usually entails reviewing certification applications and system plans, arranging schedules, monitoring of controls and tests, organizing orientations/training, providing advice or guidance to new members of the workforce, and implementing strategies. Moreover, they also perform administrative support tasks such as processing the necessary documents, facilitating activities, and coordinating with internal and external parties.

We are looking for someone with a STEM diploma (either science, technology, engineering or mathematics) who wants to apply their analytical skills and attention to detail in this exciting job.

Location:
The position will be based in Nuku’alofa and includes travel around the islands.

Duration & Renumeration:
Full-time / permanent 
TOP40.00 per day

Required Qualifications:
STEM Diploma 2+years’ professional experience using analytical skills

About the role

The Finance & Administration Coordinator is responsible for the day-to-day financial management of the organisation through maintaining and monitoring the accounting system. The person will also ensure accurate expenses allocation and timely financial reporting. She/He will be responsible for the office administrative, and operations matters. The Finance & Administration Coordinator will be reporting to the Director and will be based in the Head Office in Mataika, Nuku’alofa.

Responsibilities and Duties:

Finance and Accounting
  • Responsible for the organisation’s finance, accounting, operations, human resources, and procurement functions, in close coordination with the Director.
  • Consolidate all the organization’s expenses on the online accounting system and develop monthly financial reports and submit them to the Executive Board, after revision and verification by the Director.
  • Assist with preparing budgets and prepare monthly forecasts in coordination with the Director.
  • Collect and examine office bills, and process and reconcile staff cash requests by examining all receipts and ensuring their accuracy
  • Maintain and oversee the organisation’s banking systems including but not limited to accounts, statements, records, etc
  • Prepare donor financial reports in line with donor reporting requirements and ensure timely submission in coordination with the Director.
  • Maintain a strong financial archiving system in both hard and electronic forms
  • Coordinate and assist the external auditors during their audit fieldwork
  • Work closely with the organisation’s Legal Accountant
 
Operations and Administration
  • Maintain office functionality by ensuring that all office equipment is in good condition and adequate quantities of office stationery and supplies are available
  • Liaise with service providers regarding office issues (electricity, internet, server, etc.)
  • Establish office inventory list and ensure it is updated regularly
  • Coordinate logistics for in-country travel and international travel such as hotel lodging, air travel, venues, visa arrangements, etc., as well as logistics related to program activities and fundraising events
Human Resources
  • Provide advice and training to staff to ensure that financial, procurement and HR procedures are understood and followed by all staff
  • Issue job vacancies, schedule and conduct interviews, and prepare job offers and contracts, in close coordination with the Director
  • Keep track of staff contracts and performance review records
  • Manage and track time sheets, leaves, and attendance records in accordance with TYEE HR policy for all TYEE office’s staff
  • Maintain proper and confidential archiving of HR personnel records for all TYEE office’s staff
Procurement
  • Conduct all procurement procedures ensuring their compliance with TYEE’s and donor requirements
  • Prepare service agreements and keep track of their relevant terms and completion
  • Ensure all procurement are in line with the TYEE budget in office.
Carry out additional tasks and duties as directed by the Director.

Qualifications:
  • Bachelor degree in the field of Finance, Business Administration, or any other related field with proven capacity and skills in financial management and accounting
  • At least three years’ relevant experience in a finance/admin function
  • QuickBooks (or other online accounting system) proficiency is required
  • A good understanding of donor and governmental requirements
  • Good written and spoken English.
  • Ability to work independently with minimal supervision is essential
  • Tonga legal citizen and have the right to work in Tonga.

The Administrative/Finance Officer will develop and maintain efficient administrative systems and control mechanisms to support the smooth running of the operations and ensure compliance with administrative, human resources and financial rules and procedures. ​ 

RESPONSIBILITIES INCLUDE:
  • Manage the day-to-day human resource, financial and administrative (including staff safety and security) functions of the office

  • Language: Excellent knowledge of English and good working knowledge of another language.

Expression of Interest - 'Mentor Me' Manager

Tonga Youth Employment and Entrepreneurship Inc. (TYEE) invites applications from suitably qualified candidates on a contract basis for its new mentoring programme for Tongan young people – "Mentor Me".

TYEE is a not for profit youth support service organisation in Tonga, working to assist young school-leavers aged 18-35 years in two areas – employment and entrepreneurship.  In our commitment to addressing youth unemployment, TYEE is also working towards building the capacity of youth as future entrepreneurs, leaders and champions of Tonga.  

​​Mentor Me is designed to match local mentors with young people who either want to start/ have started their own businesses or who want to develop their own careers. The programme is run by TYEE and supported by Chris Elphick, Breadfruit Consulting.

The role of the Manager is to:
Implement and ensure the successful operation of the programme for the initial six months in the new year 2020 in Nuku’alofa – contract could be extended and to include Outer islands.  The role will include:
  • Helping to prepare mentor and mentee handbooks, application forms and other paperwork.
  • Promote and market the programme.
  • Identify and recruit mentors and mentees (initially 10 of each).
  • Work with Breadfruit Consulting on recruitment, induction and training of mentors and mentees.
  • Be involved with the initial matching of mentors with mentees.
  • Ensure that goals are set at session one for each mentee.
  • Maintain contact with all mentees and mentors to ensure the smooth running of the programme
  • Liaise with TYEE and Breadfruit Consulting in the event of problems or issues that need to be resolved.
  • Meet with the mentors at least once during the initial six months.
  • Meet with the mentees as a group at least twice during the initial six months.
  • Evaluate the progress of the programme after the initial six months
  • Advise TYEE on any suggested changes to the programme.
  • Manage  PR and publicity throughout the programme.
